How Do We Apply for a Rwanda eVisa as a Family or Group?

Overview

Planning a gorilla trek, family reunion, or school trip to Rwanda? Our Rwanda eVisa portal lets you submit multiple travelers in one session so you only pay once and can track everyone together. Each person—infants included—receives an individual authorization letter, but all applications can be bundled under a single group leader.

Who Can Apply Together?

We currently allows up to 15 travelers per submission. Larger parties should split into two or more batches and reference the other application numbers in the “comments” field.

Group Application Workflow on Irembo

  1. Gather information: Full names, passport numbers, birthdates, nationalities, and contact details for every traveler.
  2. Prepare documents: Passport scans, photos, birth certificates (for minors), consent letters, itinerary, and accommodation proof.
  3. Start the application:
  4. Pay the fees
  5. Upload documents
  6. Track approvals: approved visas will be sent to the account leader's email.
  7. Print every approval and pack them with matching passports; airlines often check documents individually.

Additional supporting docs:

  • Invitation letters (conference, family visit, medical treatment).
  • Proof of funds or company sponsorship for delegations.
  • Yellow fever certificate if arriving from a risk country.

Special Considerations for Children & Guardians

  • Use the same email for all minors if parents want centralized notifications.
  • Upload high-resolution scans of birth certificates to prove relationships.
  • Consent letters should list travel dates, destinations, and the adult responsible for the child in Rwanda.
  • If parents are divorced or one is deceased, include the custody order or death certificate.
  • School trips should provide a roster on school letterhead plus emergency contacts for each student.

Mixed Nationalities & Passport Types

  • Each traveler pays the fee tied to their nationality, even if filed together.
  • Dual citizens must enter Rwanda with the passport used in the application.
  • Residents of East African Community states traveling on national IDs should follow EAC entry rules rather than the eVisa system.
  • Diplomatic or service passport holders should coordinate with Rwanda’s embassy/high commission for protocol clearance.

  • Approvals may arrive at different times. Wait until everyone is approved before flying.

Troubleshooting & Pro Tips

  • Large files: Compress PDFs under 2 MB to avoid upload failures.
  • Passport validity: Renew any passport expiring within six months—Rwanda denies entry otherwise.
  • Border logistics: Appoint a group leader to present a roster, hotel confirmation, and contact info at immigration.

Frequently Asked Questions

Can infants share their parent’s visa?
No. Every traveler needs a separate approval, even newborns.

Do we have to arrive together?
Ideally yes, but if flights split, each person should carry copies of the full itinerary and group roster.

What if we exceed the portal limit?
Submit two applications (e.g., Group A and Group B).

Can one person pay for everyone?
Yes. The group leader can pay the full amount via card.

How do we handle different visa types in the same group?
File separate submissions if some need Conference visas and others need Tourist visas—mixing types in one batch can delay processing.

Is there a discount for children?
No. Government fees are flat for all ages.

Coordinated paperwork keeps family and group arrivals smooth—especially during peak gorilla-trekking months. Start early, double-check every upload, and keep printed copies ready for Kigali or land-border immigration desks.
